Understanding workspace roles (Admin, Manager, Viewer)

When you invite someone to your workspace, you choose what they can access. Your workspace is your creative home - you decide who can see, edit, or manage it.

๐ŸŽญ The three roles

๐Ÿ”‘ Admin

Admins have full access to the workspace.

Can do:

  • Edit Identity, Context, Vision boards, and projects

  • Chat with Apollo (unlimited if on paid plan)

  • Invite and remove team members

  • Change other members' roles

  • Access billing and subscription settings

  • Delete projects

Best for: Bandmates, your manager, anyone who needs full control alongside you.

Note: Only Admins can see and manage billing. If someone needs to handle payments, they need Admin access.


โœ๏ธ Manager

Managers can edit content but can't control the workspace itself.

Can do:

  • Edit Identity, Context, Vision boards, and projects

  • Chat with Apollo (unlimited if on paid plan)

  • Create new projects

  • View team member list

Cannot do:

  • Invite or remove team members

  • Change anyone's role

  • Access billing or subscription settings

Best for: Day-to-day collaborators like assistants, project manager, publicists, or A&R who need to work inside the workspace but don't need administrative control.


๐Ÿ‘๏ธ Viewer

Viewers can see everything but can't change anything.

Can do:

  • View Identity, Context, Vision boards, and projects

  • Chat with Apollo (limited access)

  • See team member list

Cannot do:

  • Edit any content

  • Create or delete projects

  • Invite or remove members

  • Access billing

Best for: Label executives, consultants, or anyone who needs visibility without hands-on access.


๐Ÿ” Which role do I have?

To check your role in a workspace:

  1. Make sure you're in the workspace (check the selector in the top left)

  2. Go to Account Settings โ†’ Workspace Management

  3. Look at the member list - your role appears next to your name

If you need a different role, ask a workspace Admin to change it.


๐Ÿ”ฎ Ownership vs roles

Roles control what you can do. Ownership controls who the workspace belongs to.

  • The owner is the artist who claimed the workspace (usually by linking Spotify)

  • Owners are automatically Admins, but not all Admins are owners

  • Ownership can't be transferred - the workspace is tied to the artist's identity

Even if you grant someone Admin access, you remain the owner. They can't remove you or take the workspace from you.


๐Ÿ’ก Pro Tip

Start with Viewer or Manager access and upgrade to Admin only if needed. You can always change roles later, but it's easier to grant more access than to walk it back.
